5 Tips for Managing a Remote Team

5 Tips for Managing a Remote Team If youre used to managing an office full of employees, the idea of managing a remote team might seem a little daunting. How can you tell who is working, and when? How can you keep track of everyonesschedules, much less their productivity? The truth is, managing a remote team does require you to think outside of the, well, office, but its fairly easy to do and youll have amazing resultsWhether you have a semi-remote or completely remote workforce, here are five tips for managing a remote team successfully1. Set ExpectationsIn order for your remote workers to know what is expected of them, its a good idea to clearly define goals and objectives early on even as early asthe recruiting process (especially if youre recruiting remote workers). These goals should be clearly communicated leid only during the job interview, but also during meetings, check-ins, and perform ance reviews, too. By communicating these target objectives, your team will know what they should be doing at all times, and more importantly, have an idea of what they should be working towards. You should also outline some performance metrics that can provide both your staff (and yourself) with some insight into their productivity levels and how they are progressing toward their goals.2. Communicate With Your TeamCommunication is key when you have acompletely remote workforce, a work-from-home policy, or just a fewemployees with flexible schedules. Managing a virtual team means that youll need to communicate not just what the next assignment is, but also other information that is important to your workers, such as company news and updates, acquisitions, mergers, and anything that can help your employeesaccomplish their work and feel connected to the company as a whole.Beyond communicating with employeesas their boss, you also need to set up your remote team for success by implemen ting tools that allow your workers to communicate well with oneother. Encourage remote workersto reach out to each other via instant messaging, email, chat clients, and the phone Communication tools such as Join.me, Skype, and Campfire can give your employees an opportunity to connect with each other and strengthen the bonds between your team members.3. Lead by ExampleOne of the best benefits of working from home is just that you are working from home. That means that, unless otherwise directed, you can work whenever and wherever you want. If you want your employees to take advantage of their work flexibility, youll need to set the example of how to work flexibly. That means you dont send emails after the workday is done and expect employees to answer them. It also means encouraging your employees to enjoy the work-life balance inherent in a flexible job, such as going to see their childs school performance or taking their parents to a doctors appointment. If your employees see you working 24/7, they might feel the need to follow your lead.4. Get to Know Remote Employees PersonallyBeyond remote team meetings and email updates, you should make aneffort to get to know your employees on a more personal level. Without a water cooler to stand around, it isnt always easy totalk toyour employees about what they did over the weekend. Its a good idea to schedule informal check-ins every once in a while you can group a few employees together to make it more of a virtual coffee chat, in which you can talk about everything from fab summer reads to guilty TV pleaayas. You can chat about anything during these mock meetings except work5.Institute an Open-Door PolicyWhen employees are flung fararound the country (or even the globe), it can be easy for small issues to flare up into big problems. Establish an open-door policy with your workers so that they feel comfortable coming to talk to you about work-related issues or even personal problems. By being accessible, friendly, and professional during all of your interactions with your staff, you will make sure that your employees feel comfortable speaking with you about any issue. In turn, this can help solve any potential problems that might arise before they turn into major catastrophes. In some ways, managing a remote workforce is not very different from managing an in-office team. Taking advantage of technology and remembering to stay connected (on both a professional and personal level) will ensure that your remote workforce is strong, productive, dedicated, and happy.

Get the Call Back with Resume Action Statements

Get the Call Back with Resume Action StatementsGet the Call Back with Resume Action StatementsJust about two years ago, I started my job search. Armed with a bachelors of science degree and unbridled youthful optimism, I was ready to take on the world. I didnt have a job yet, but how hard could it be to find one? My subsequent job search surely but swiftly taught me a hard lesson. I began to realize a positive attitude is great, but you need a little more than that in your job hunt arsenal. So, I took to rewriting my resume. This rewrite opened my eyes to the importance of action statements. If you think about it, most resume bullets start the saatkorn way. Youre trying to convince a hiring manager you are THE outstanding applicant. So why would you use the same overused mottos as all your competitors?Stay away from the tired, stale set of resume phrases and be outstanding. Your resume is the first test. Grab your readers attention and make them linger on your resume for at least a fe w more seconds.Action statements largely follow the same formula Verb + Context + Impact. When youre drafting or editing your resume, ask yourself what actions you took to accomplish your achievement. Support your verb with context and wrap your statement up with results1) Did I lead a project?Poor Led a group of four people.Better Led a group of four people in customer acquisition initiatives.Great Led a specialized task force of four people in planning executing several customer acquisition initiatives, ultimately increasing user base by 12%.The better statement ends on an anticlimax. It gives minimal context, and it doesnt elaborate on the results of the action.Explain how your role in the achievement advanced your companys goals strengthen the action phrase with a positive result.2) Did I provide a service?Poor Served customers in a large insurance company.Better Provided customer service for insurance products.Great Provided customer service through quick resolution of problem s and explanation of insurance services and policies, resulting in greater customer satisfaction.Sometimes results arent quantitative, and thats okay Refer to a qualitative accomplishment resulting from your action, like this individual citing increased customer satisfaction.3) Did I create something?Poor Made a brochure.Better Designed a brochure for the school play.Great Designed a four page, full color brochure for the school play, implementing elements from a self-made style guide and icon set.If there isnt a tangible result, you can leave it off, provided you focus on the strong contextual components of your achievement. This sentence here highlights this designers initiative in creating both a style guide and icon set, and subsequently using them to create a brochure.4) Did I save my employer time or money?Poor Responsible for administrative duties.Better Assisted HR Director with administrative procedures to save time.Great Successfully created and implemented office wide adm inistrative protocols, streamlining procedures, increasing productivity, and decreasing HR costs in time and money. Here, the better statement touches on a great result- saving time. However, results need proper elaboration. Be mindful, however of the difference between results and duties. As a general definition, results are how you exceeded expectations and duties are the expectations.5) Did I research something?Poor Counseled homeless adults.Better Counseled homeless adults on career preparation, alcohol abuse, and mental illness.Great Acquired 200+ hours of one-on-one counseling experience with homeless adults in San Francisco, focused on the areas of career advancement, alcohol/drug abuse, and mental illness. In research heavy careers, such as counseling or laboratory research, results are not always immediately recognizable. In such situations, focus on skills and specializations as this individual has done. She emphasizes her acquisition of experience (action) and her focused i nterest in certain fields of counseling (specialization). These are but five examples of dialing up on the action in your resume. The next time you sit down to edit your resume follow the action statement formula. Choose a strong verb, support with context and if possible follow with the impact of said action. This sets up your phrasing to come off as an achiever as opposed to a doer.Happy Editing, folks

How to Cultivate Meaningful LinkedIn Connections For Networking

How to Cultivate Meaningful LinkedIn Connections For Networking How to Cultivate Meaningful LinkedIn Connections For Networking LinkedIn Networking: How to Cultivate Meaningful Connections Online When you’re building your online network, focus on meaningful LinkedIn connections and you’ll get much better results. Among the many social networking options available today, LinkedIn stands out as a top option for professionals and job seekers. The site is specifically designed to foster business networking, which makes it an ideal place to develop your professional connections. But having a few hundred or even a few thousand LinkedIn connections won't necessarily help your career; it's far better to have a few meaningful connections than a huge number of useless ones. What is a meaningful LinkedIn connection? A meaningful connection is one that creates value for both parties involved. Such connections can easily blossom into lifelong relationships, but for a meaningful connection to last, it has to be a two-way street. If you're the only one getting anything out of the connection, why should the other person bother to stay connected? Since LinkedIn is all about business networking, a meaningful LinkedIn connection likely involves adding professional value on some level. It might mean helping you to find that perfect job, providing advice and mentorship to boost your career, or giving you access to potential clients. Finding the right person If you've spent any time on LinkedIn, you've no doubt received invitations to connect from total strangers, many of whom simply use the default LinkedIn request to connect. These requests typically come from people who adopt the shotgun approach to networking of building as many connections as they possibly can regardless of whether a particular connection is likely to provide value or not. Instead of adopting this approach, try focusing on quality over quantity. A great place to start building connections is with the people you already know. LinkedIn offers several tools to help you find and connect with specific people: You canimport a list of email contacts, browse through the People you may know section of your My Network page, or simply enter the person's name into the search bar on the LinkedIn homepage. Joining relevant LinkedIn groups is another great way to meet people and make meaningful connections. You can search for groups by name or keyword by using the search bar at the top of your LinkedIn homepage, and LinkedIn will also recommend groups that it believes are a good fit for you. LinkedIn's list of recommended groups is in the Groups option from the Work menu; you can bring it up by clicking the Discover link at the top of the page. Sending an invitation Ideally, everyLinkedIn invitation you make will be to someone you already have some sort of connection with. It may be a colleague, someone you met at a tradeshow or marketing event, or even a friend of a friend just be sure to mention the connection in your LinkedIn invitation. For example, if you are in the same LinkedIn group with a person and want to connect with them, you might start your invitation by saying Hello Joe, you may remember me from XYZ group on LinkedIn. Since we are in the same line of work and share many of the same interests, I thought it would be a great idea to connect with you. It's best not to assume that the person you're connecting with will immediately remember you because a conversation that was deeply meaningful to you may not have made the same impact on them. Related:How to Maximize Your LinkedIn Endorsements Building the relationship Asking a near-stranger to do you a favor right off the bat is unlikely to give them a good impression of you. Instead, take the opposite approach: Offer to do something for your new connection as early as possible in the relationship. If you can slide a favor offer into the connection invitation yourself, that's perfect. By showing the other person that you can immediately be of value, you'll be encouraging them to not only connect with you but to also put in the time and effort it takes to create an ongoing relationship. Your favor doesn't have to be a big deal. In fact, starting off small is usually best because offering to do a huge favor for a distant acquaintance can make that person very uncomfortable. If you're connecting with someone who lives or works in the same area that you do, offer to take them out for coffee or a casual lunch. Not only is this a nice thing to do, but it also gives you the perfect opportunity to start getting to know that person. How to respond to LinkedIn invitations Often you won't be the one initiating the connection request. In fact, if you're active on LinkedIn, you may be inundated with requests. In most cases, it makes sense to accept every connection invitation, even if it's just a generic request to connect. After all, if the connection turns out to be a meaningless one or they start spamming you with requests, you can always remove them from your network. When you receive an invitation, it's a good idea to take a peek at the person's profile. LinkedIn profiles will often contain just the information you need to figure out how to turn a connection into a meaningful one. For example, if you get an invitation to connect and that person works for a company you've always admired, you can message him back after accepting the connection and tell them how you feel about their company. After you've taken the time to have a few conversations with them and perhaps done them a favor or two, you can then take the next step and ask for their help (or better yet, their advice) with getting a job there. Building a network of meaningful LinkedIn connections unquestionably takes more time and effort than simply inviting random strangers to connect with you. However, the rewards you can reap from your efforts are well worth the cost and can help push you towards your top career goals. Click on the following link for more networking advice. Maximum Age to Become an Officer in the Military

Maximum Age to Become an Officer in the Military Maximum Age to Become an Officer in the Military Many people ignore the calling to serve our country while young for a variety of reasons. Some cannot fight the urge anymore and decide it is time to drop the corporate job and put on a military uniform. There are age limits however for those who line up at the recruiters office a little late in life. Here is a typical question that often occurs with young men and women in their late twenties and early thirties about military service: What Is the Maximum Age to Become an Officer in the Military? The maximum age for a commission is age 35. It is because a military officer must be able to have 20 years of service, to be retirement eligible for the maximum retirement age of 55. There are a few exceptions: Military medical officers and chaplains can be commissioned up to the age of 47 with waivers into their 50s (they also dont have to retire by age 55). Depending upon the need for doctors, psychologists, chaplains (all faiths), and legal officers as well, the maximum age can be waived. Those with prior enlisted service can receive waivers (as long as they can retire with 20 years of military service by age 55). Of course, there are exceptions to every rule as many senior officers serve well past the age 55 with 30 plus years of service. But typically with NO prior military service that age is 35 years old. Aviators (Pilots and Navigators) have different age requirements, which are specific to the service. The typical route to joining the military as an older officer after college is though Officer Candidates School (OCS) as the route through ROTC or the Service Academies have younger age limits. All the branches have their individual officer training programs: Navy Officer Candidate School - ?OCS provides 13 weeks of officer candidate indoctrination and training. Selected enlisted members are designated officer candidates upon reporting to OCS in Pensacola, Fla.Army Officer Candidate School - Army OCS is conducted at Fort Benning, GA and is 14 weeks long. Branches in which officers are trained vary according to the needs of the Army. These needs are greater in Combat Arms than in other branches. The Army requires all officer candidates to enlist into the Army prior to Officer Candidate School. Air Force Officer Training School (OTS) - The OTS complex is located in Maxwell Air Force Base, Alabama, and is a 14-week training program.USMC Officer Candidate School (OCS) - USMC OCS is located in Quantico, VA and is a 10-week course for college graduates of an accredited four-year college or university, and graduates of accredited law schools licensed to practice in a state or federal court are eligible for a reserve commission.Coast Guard Officer Candidate School (OCS) - Officer Candidate School is a 17-week course of instruction in leadership, management, navigation, law enforcement, and military subjects. The Coast Guard OCS program is located in New London Connecticut at the Coast Guard Academy. Another Unique Transfer Situation USN and USMC Limited Duty Officer (transfer) - There is a unique situation that can occur with Limited Duty Officers (LDO). LDOs are officers given commissions due to their skill and expertise in operations in the United States Navy or United States Marine Corps. A Limited Duty Officer does not have to have a bachelors degree. However, should the LDO advance in his or her rank and finish college as well, they can transfer into the Unrestricted Line Officer ranks and continue their officer service for another 30 years if they choose. An LDO has some limitations. They cannot assume command, only achieving Executive Officer at the highest levels and finish promotions at O-5. However, with a transfer to Unrestricted Line Officer, they can continue their career into the flag ranks if they choose and are selected for such advancement during their long career. The thing to remember is to try - as there are waivers for many situations. You may be told NO many times, but if you are an age that is close to being waived or wanting a job that is highly needed by the military, you may get your opportunity.

3 ancient laws to help increase your wealth this year

3 ancient laws to help increase your wealth this year 3 ancient laws to help increase your wealth this year When I first graduated from college, I was full of enthusiasm and excitement. My hopes for the future were only matched by the number of bills that piled up. And it didn’t get easier. Graduate school added to the debt pile. Add marriage and a baby to the mix and life became more expensive by the minute. At a conference, I heard the virtues of saving and investing. Sure, financial freedom sounded wonderful and also like a far-off dream. In my book, The Book of Mistakes: 9 Secrets to Creating a Successful Future, I share some of the principles that helped me get out of debt in record time. And I don’t mean some debt, I mean all debt, meaning no student loans, no credit cards, and no mortgage either. No debt was my first goal, but then financial security became my next. I was determined. My whole life has centered around studying success, financial freedom, and happiness. I knew the difference between “good debt” and “bad debt,” between bonds and high-paying dividend stocks. I understood the concept of delayed gratification, of living beneath my means. Check, check, check. But there were three underlying mindsets that made all the difference to me. It may seem counterintuitive. Some may dismiss these concepts as amateurish or soft. I get it. I also know that some of the “financial geniuses” out there, who actually teach on the subject, are struggling to make payments on their credit cards. So, don’t dismiss these mindsets quite yet.The first is desire. You would think that this is obvious. Everything starts with desire. In my book, I call it “The Law of Desire.” Only when your desire is great enough does it activate the winds of achievement to propel you to the impossible. I go so far as to say that “Your desire sets the course of your destiny.”I know it sounds hokey and a bit out there, but I didn’t just study stock charts. I thought about my goals with such passion, emotion, and specificity that I believe it activated an internal drive to succeed. I didn’t just think about what I wanted, but also why I wanted it. As the old saying goes, “When the ‘why’ is big enough, the  â€˜how’ is automatic.”The second is gratitude. The time to practice the art of gratitude is when you have little. Those who are grateful attract more opportunity. It’s human nature. We are more likely to give to those who are appreciative than to those who feel entitled. Gratitude opens doors of opportunity. Numerous studies on gratitude are proving this scientifically. It’s easy to groan and complain. The other day, I found myself in a critical mood. I wasn’t allowed through the faster security lines at the airport. My flight was delayed. My phone wasn’t getting text messages. I had to catch myself. What an amazing opportunity to travel to another part of the world; my phone not working gave me a little downtime to reflect; I was able to meet someone in the longer security line who has proven to be a valuable connection. The third is belief.Knowing your purpose and believing in yourself is crucially important to your success in any endeavor. You cannot rise higher than your beliefs.I often ask people about their failures, mistakes, and struggles. I learn more from the answers than I do from their successes. One type of failure that is completely avoidable is self-sabotage. No one thinks that they will do this to themselves, but it happens every day. Why? Because all too often we rise to a level of success that doesn’t match our internal view of who we are. We hit a new level, but because we don’t think we should be there, we end up subconsciously behaving in a way that will push us back to a different level. These three laws can play a crucial role in your success this year. Your goals may include cutting your debt in half or saving an extra month of pay. That’s great. Consider the three ancient laws from The Book of Mistakes: desire, gratitude, and belief. As they did for me, these three laws may make a remarkable difference in your future.Skip Prichard is the CEO of OCLC, a prominent leadership blogger, and the author of The Book of Mistakes: 9 Secrets to Creating a Successful Future. Grow your Business by Being More Generous

Grow your Business by Being More Generous Grow your Business by Being More Generous Grow your Business by Being More Generous Rosen, author of Grounded: How Leaders Stay Rooted in an Uncertain World (Jossey-Bass, 2013)and Tony Rutigliano Perhaps the veracity of no old adage has benefitted more from scientific research than that of this favorite of mothers, teachers, and preachers: It is better to give than to receive. An ever-growing body of hard evidence supports the notion that generosity enhances our physical and emotional well-being and has tremendous benefits for the social structures we inhabit, including our workplaces. Whats more, generosity begets gratitude, another positive emotion with tremendous power for generating good feelings and great outcomes. Hard-Wired for Kindness Belying the evidence of TV news, human beings are hard-wired for kindness. Evidence suggests that our genetic ancestors with a higher capacity for giving increased had a greater likelihood for survival. Two studies by the University of Michigan bear this out. One pointed to greater mental and physical health tied to generosity. Another which tracked 2,700 people over a 10-year span, showed that men who performed volunteer work regularly had mortality rates that were two-and-one-half times lower than men who were not generous with their time. Study after study shows that practicing generosity reduces stress and contributes to stronger immunity to illness. Having examined 500 scientific studies on the power of unselfishness, Case Western Reserve University bio ethicist Stephen Post noted, Its abundantly clear from a number of studies that people who live generous lives also live happier lives. On the other hand, parsimony seems to do little to help us lead better, healthier lives. Canadian social psychologist Liz Dunn in her vast research discovered a link between stinginess and the shame people have in being stingy and higher levels of the stress hormone cortisol. As reported in Scientific American, Dunn examined cortisol levels in subjects who responded in experiments with the choice of giving money away or keeping it for themselves. She found that the more money people chose to keep in the experiment, the greater shame they felt and the higher their cortisol levels were. Whats Your Purpose? One reason that generosity makes us feel good is because it gives us a greater sense of purpose in our lives. Our minds and bodies are built for more than mere survival. They have the capacity for social and emotional drives that give us greater meaning. For a variety of reasons, many people have never asked themselves, What is my purpose here? Am I meant to do more with my life than take care of myself? Finding an answer begins with accepting that this is not like coming up with another New Years resolution. It is not a formula like a weight-loss program. It is a journey of discovery as you look for ways to use your unique gifts while helping others. Discovering this higher purpose changes you. You will think about yourself and others differently. It is a little like reinventing yourself. You will have a new persona or self- definition that is more closely aligned with what you value and are passionate about. And, by being more generous and other-directed, you, at long last, can take some of the focus off yourself. Certainly, self-awareness is critically important to our emotional intelligence and success. However, many achievement-driven individuals look at themselves through a fault-finding filter, concentrating on what we did wrong or could have done better. So often, our internal talk track is self-critical, and induces stress, doubt, uncertainty and obsession. These do little to build our confidence or contribute to our successes. Generosity distracts us from that all too critical inner voice, and helps us build a strong argument against its critique of our personalities and our efforts. In other words, it is hard to be convinced that we are a sad collection of faults when we see others benefit from our good works and actions. Happiness at Work One of the most admired business executives of the 21st Century, Tescos retired CEO Terry Leahy clearly saw that generosity was the key to success. When I joined Tesco, somebody said to me, Theyll eat you alive, because it was known as a bit of a hard-charging place, he told the New York Times. That sort of brought out the street kid in me, and made me a little bit hard and combative. I had to learn later that theres another way to get the best out of people, which is to really motivate them and make them feel good about themselves. So I changed. If I had to sum it up[be] generous at work rather than selfish. Leahy thinks it essential that people follow the golden rule treat others in the workplace the way you wish to be treated in order to be successful. But, he says, not everybody can adopt that mindset. Sometimes the brightest find it the hardest to make that transition because theyve always been better than the people around them. However, if you consciously build people up so that they say, I matter here and people respect me and they think I can contribute and they trust me to contribute, that really gets the best out of people. And it will benefit you as well. According to research out of the University of Wisconsin-Madison, being altruistic not only improves well-being at work, but also makes people feel more committed and makes employees stay. Our findings make a simple but profound point about altruism: Helping others makes us happier, said UW researcher Donald Moynihan.Altruism is not a form of martyrdom, but operates for many as part of a healthy psychological reward system. So, obey that urge toward generosity that is hard-wired into us human beings. The investment, it seems, will pay off. What to Bring to a Job Interview

What to Bring to a Job Interview What to Bring to a Job Interview What should you bring to a job interview? Its important to enter an interview prepared with everything you physically and mentally need, organized and ready to go. There are also some things that you shouldnt do. What to Bring to an Interview Directions. If youre not sure where youre going, bring directions and any instructions the hiring manager may have given you. If you have an email confirmation of the appointment, bring that too. If you can, do a test drive to the location to see how long the drive is, you do not want to be late. Try to arrive 10-15 minutes early.Identification. If the building has security, you may be asked to show identification, or you may need it to complete a job application. Bring your drivers license or another form of identification with you. Notepad and Pen. There is nothing worse than searching for a pen or asking to borrow a pen, during the interview, so make sure to bring your own.  Also bring a notepad so you can jot down names, company information, or questions you come up during the interview. Bringing a pen and notepad shows you came to the interview prepared.Names of Contacts. Write down the name of the person youre interviewing with on your notepad. It can be easy to forget a name, and you dont want to be embarrassed. Also bring the name of the person who arranged the interview, if its a different person. List of Questions to Ask. Have a list of questions to ask the interviewer when they ask you at the end if you have any questions for them. You will be thankful you prepared some questions ahead of time, sometimes trying to come up with a meaningful question off the top of your head can be challenging and stressful.Extra Copies of Your Resume. Bring several copies of your resume to give out upon request. Your resume will also give you the details, like dates of previous employment, which you may need if you have to fill out a paper job application. Reference List. Bring a printed list of references to give to the hiring manager. Include at least three professional references and their contact information.  Choose references that can attest to your ability to perform the job you are applying for.Work Samples. Depending on the type of job youre interviewing for, you may need to bring samples of your work. If they dont lend themselves to print, consider bringing your iPad or laptop.A Portfolio. A portfolio is a great way to package all the items youre bringing with you to the interview in a neat and orderly fashion. That way, youre organized, and everything you need will be readily accessible. What Not to Bring to or Do During  a Job Interview What you shouldnt bring to a job interview is important. Believe it or not, there are stories of applicants for internships and entry-level jobs bringing their mom or dad to the interview! Dont do it. It is both awkward and unprofessional to have a third party in the room. In fact, it will probably cost you a job offer. You need to be able to interview on your own merits, and the company wants to interview you, not your parent. Don’t chew gum or suck on candy.  Throw out the gum or candy before you enter the office.Don’t carry in your morning coffee or protein shake.Don’t walk into the office talking on your phone or texting. Turn off your phone or ringer before you walk into the building.Don’t wear a hat or cap, leave it at home.Don’t overwhelm the interviewer  with your piercings or tattoos. If you have a lot of piercings or earrings, take out a majority of them, so they aren’t a distraction (one pair of earrings, is a good rule). Do your best to cover your tattoos. Don’t put on any strong perfumes or colognes; you never know if someone is allergic in the office.Dont bring your parents!  Leave your parent(s), friends or anyone else at home or in the car, if you needed a ride. Mentally Prepare for Weird Questions The interviewer  may ask questions that may be a little quirky, depending on the company. Questions off topic like, “If you could be a superhero, what would be your super power?” Researching some possible weird questions and thinking about them ahead of time can be a real advantage for you. Know What to Expect In addition to knowing what to bring, and what not to bring, its also a good idea to get a refresher on what may take place during the interview process.

How to Write a Letter of Recommendation - Resumonk Blog

How to Write a Letter of Recommendation - Resumonk Blog How to Write a Letter of Recommendation Employers sometimes ask for letters of recommendation from people who know the applicants. Recommendation letters can be requested as part of the initial application package or as the last step in vetting a job candidate. Organizations that ask for letters of recommendation usually ask for two or three such letters, in order to get a better feel for the candidate and make sure they’re a good fit for the company.   Gather Information to Write the Letter If you’re approached by someone to write a letter of recommendation, the first step is to gather information about the position she is looking for. Ask for a copy of the job posting. If she wants a more general letter of recommendation, ask for the type of job they are looking for. You need to have the specific job posting or knowledge of the type of job the person is looking for because the most successful recommendation letters will make a clear link between the capabilities, skills and qualities the job-seeker has demonstrated previously and those required in the open position. Good recommendation letters are not vague and general. They specifically pinpoint what the person has done well with an eye toward what they can continue to do well. You should also request a copy of the job-seeker’s resume. If you weren’t the immediate past supervisor, you need to know how her career has developed. She may be highlighting areas that are quite different from what she performed for you. You may have supervised the job-seeker as an associate in social media, for example. Her duties were monitoring analytics, reviewing competitor sites and developing content. If she has since been promoted in analytics, she may be focusing on that area. You would want, ideally, to have a specific example or examples of how she performed in analytics, in addition to comments about her qualities and skills. If you have access to relevant performance appraisals, they can be helpful in developing the letter, as they will have reference to the top achievements, skills and qualities of the job-seeker. What to Cover Recommendation letters should cover the following information: How you know the person: Open by briefly mentioning in what capacity you know the person. State your specific title, the job-seeker’s specific title at the time and the inclusive years she worked for you. The job-seeker’s skills and capabilities: State the skills demonstrated and the capabilities you saw. Were they adept at crunching data? Did they demonstrate multitasking ability? Specific examples: Once you’ve covered the skills and capabilities, give at least one specific example of an achievement they accomplished. This needs to related explicitly or implicitly to the job they are seeking. The job-seeker’s qualities: Mention specific qualities the job-seeker demonstrated. This can range from engagement to being a good team player. Reference to whether you’d hire the person again: If you would hire the person again, mention it. It’s valuable information for prospective employers. Your contact information: The interviewing organization may want to get in touch with you to discuss the letter more fully. Provide complete current contact information. Format Specifics A recommendation letter should be roughly three to four paragraphs long. The standard is roughly one page. Any shorter, and it could be perceived as a sign that you didn’t know the job-seeker that well or didn’t have sufficient positive information. It is a formal business document. It should be printed on the letterhead of your current company and dated, and you should sign it. Use a standard business font, such as Arial or Times New Roman. The margins should be 1 inch at the sides and the bottom. If you were asked to send it electronically, PDF the copy on your letterhead and submit it per the instructions specified, either by the job-seeker or by information on the job posting. What to Do if You Can’t Give a Positive Recommendation At times, you may be asked for a recommendation letter and you feel that you cant write a positive recommendation. The reasons may range from you didn’t work closely with the person or issues with their performance. It’s best to tell the person tactfully that you aren’t the best person to write a recommendation letter for them. Suggest that they contact someone who can speak more fully about their work performance. Sample Recommendation Letter Let’s see the recommendation letter advice in action. Here is a sample, utilizing all the information above: July 6, 2017 Jon Donaldson Vice President, Social Media Your Company 456 New Media Circle Palo Alto, CA 94301 Dear Mr. Donaldson, I am writing to recommend Ashley Jones for the position of Social Media Manager at Your Company.   Ashley and I worked together at The Former Company. I was the Social Media Manager at The Former Company from 2012 to 2016. Ashley, as Social Media Associate, reported directly to me within a team of four people. I enjoyed working with Ashley and feel she would be a valuable asset to your team. She is creative, thorough and dependable. She is a proactive problem-solver fully aware of the changing social media landscape. Even then, Ashley was able to think strategically about how our social media campaigns could remain ahead of competitors. As the Social Media Associate, Ashley developed a Pinterest campaign for The Former Company. We had no presence on Pinterest at the time. Ashley developed and presented an impressive campaign idea to senior management and executed upon it. Our sales leads generated from Pinterest hit 12 percent in the first year of Ashley’s campaign. Her ideas were a major part of its success. Along with her creative and execution talent, Ashley is an excellent collaborator and team player. Her colleagues enjoy working with her. I would hire her again without hesitation. I warmly recommend Ashley for your team at Your Company. She would be an asset to any social media department.
